Role synopsis

The Administrator, Laboratory provides effective and efficient support for the laboratory manager and the staff of chemists, supervisors, and technicians in the application of procedures, methods, collection of data and reconciliation.

The Administrator, Laboratory provide support and coordinated quality and standards compliance activities. Responsibilities require a broad knowledge of departmental, functional, and ISO procedures and exceptional organizational skills with a high degree of attention to detail and accuracy.

Key accountabilities

  • To coordinate and perform varieties of clerical and administrative support for the lab team and PKI when necessary.
  • Coordinate with vendor to ensure timely delivery of necessary supplies and monitor lab inventory and expenditures - make budget projection and recommendations
  • Responsible to update all lab related KPI, reports, compilation of statistical data, adverse trends and generate certificates of analysis
  • Update record and monitor laboratory expenditure and support Lab Manager to take necessary actions to ensure spending are within budget and monitor the effective lab purchase order administration
  • Support QC Chemist in generating Blending Instruction
  • Support to maintain Quality Management System (ISO 9001:2008, ISO/TS 16949:2009) and Environmental Management System (ISO 14001 :2008) documentations - includes control and distribution , coordinating management review and coordinate internal quality audits
  • To coordinate, support , compile and analyze Customer Complaints and Customer Satisfaction
  • To manage - update & monitor chemicals raw materials, finished goods and laboratory SDS. Reporting of these data will be required for both internal and external parties.
  • To prepare & compile quality reports such as near miss reports for both internal and external parties.
  • To administer all OMS Online compliance activities - to update, record and coordinate all activities for the Laboratory
  • To act as a job representative for laboratory projects and lab waste contractor.

Essential Education

  • Minimum Diploma holders of any disciplines

Essential experience and job requirements

  • Minimum 2 year working administration experience.
  • Experience in supporting laboratory administration (quality control and assurance) will be an added advantage
  • Must be computer literate with knowledge in using MS Office application
  • Ability to multitask few activities at a time, good organization skills and effective data management and analytical skills

Desirable criteria & qualifications

  • Knowledge in Quality Management System (ISO) documentation will be an added advantage
