Description

BASF Shared Services Center Kuala Lumpur was established in 2005. Located in Kuala Lumpur, the shared services center has nearly 700 employees and provides functional services in the areas of Finance, Controlling, Information Services, Human Resources, Environment, Health & Safety, Procurement and Import-Export Operations Services to BASF companies and affiliates in 17 markets across the Asia Pacific region.

BASF has three other shared services centers located in Berlin and Ludwigshafen in Germany and in Montevideo, Uruguay, that cover Europe and the Americas.

Objectives

  • Responsibility for all APAC topics regarding pool management and logistics topics.
  • As the regional responsible contact person (SPOC from project and coordination of local countries).
  • On-going role: fully integrated team member of the pool management team and global IT logistics team, working in different areas (Rollouts, Replacements, M&As, Improvement projects, Regional Escalations, etc.).

Job Description

  • Part of the global pool management and logistics management team
    • Participate in and contribute to regular global pool and logistic meetings, providing Asian perspective and jointly develop sustainable and workable solutions for APAC
    • Act as the communication channel between global pool and logistics team, the various global service delivery units and local responsible
    • Alignment about global pool and logistic strategy
  • Project Support (e.g. Rollout, M&A, Carve Out)
    • Provide consultancy to project manager on pool and logistics topics to meet the project requirements, such as where to place pool, shipment and delivery of hardware
    • Coordinate all project related pool and logistics activities across APAC including pre-orders and reservations of PCs
    • Ensure pool and logistics activities which required multiple parties (including project team, local RBPS, global pool management, logistic and technical team, service owners, external vendors, etc.) are properly coordinated and executed
  • Support in Pool Management Tool
    • Manage pool threshold setting for new and existing pools
    • Article setting
    • Pool refill maintenance
    • Review actual pool levels against recommended levels and initiate pool refill orders with APAC local RBPS responsible for procuring PCs and other equipment
    • Ensure pool refill IMACs are fulfilled in a timely manner and to cancel pool refill IMACs which are no longer required
    • Trigger PC disposals and monitor for disposal compliance
    • Direct, manage and oversee the activities of the local pool contacts at each pool.
    • In conjunction with local pool contacts and BASF personnel, conduct regular pool audits, including data matching to pool management tool data, and physical inventories of PCs and other equipment.
    • Review recommended pool levels against delivery risk and work to optimize pool quantities to ensure that PCs are always available while minimizing required inventory.
    • Resolve pool issues and errors with local pool contacts
    • Submit lists of required pool updates to the global pool management team for error corrections, etc.
    • Prepare and distribute pool management reports according to defined schedule and distribution list
  • Request Management
    • Manage pool and logistics Change Requests to ensure requests are clearly identify and documented, track, route to the responsible parties and implemented to meet the requirements and timeline
  • Problem/Incident Management
    • Acts as a point of escalation for pool and logistics problems and incidents to ensure swift resolution and customer satisfaction
    • Support the resolution, trigger appropriate actions, working closely with the respective teams to bring about timely communication, restoration and closure
  • Monitoring of Hardware Ordering and Invoicing
    • Maintain up-to-date Hardware ordering and invoicing matrix for APAC
    • Monitor compliance in ordering
  • Continuous Improvement
    • Ensure lapses in processes/service delivery are captured and reported appropriately, escalating to the relevant hierarchies of the service delivery units whenever necessary
    • Identify and implement process improvement

Requirements

Education:

  • Bachelor’s Degree in Computer Science, Information Technology or equivalent.

Working Experience:

  • 5+ years’ experience in operations, consulting or projects.
  • Prior experience in IT logistics and vendors management.
  • Prior experience with inventory management system desired.
  • Prior experience in a regional or global program desired.

Technical & Professional Knowledge:

  • Good English proficiency, with strong articulation and communication skills.
  • Ability to steer vendors and other service suppliers to ensure consistent and reliable service.
  • Ability to multitask in a fast-paced environment, and strong organizational/coordination skills.
